Costing and Logistics Clerk

Job Description

Our client is looking for Costing and Logistics Clerk
Specific Duties

  1. Shipment Booking and Coordination
    (a) Liaise with suppliers and freight/shipping agents to obtain and compare quotes.
    (b) Confirm bookings with chosen suppliers and ensure all shipping instructions are clearly
    communicated.
    (c) Coordinate with brokers to facilitate pre-clearance by submitting all necessary documents
    (bill of lading, invoices, packing lists).
    (d) Ensure prompt dispatch and arrival of goods, updating key stakeholders accordingly.
  2. Shipment Tracking and Broker Liaison
    (a) Monitor all shipments from origin to warehouse delivery.
    (b) Maintain and update a central tracker/log of all in-transit goods.(c) Follow up status updates
    from brokers and shipping agents.
    (d) Resolve customs-related delays and documentation discrepancies immediately.
  3. Inventory Coordination
    (a) Notify warehouse/inventory staff of expected arrivals and any special handling needs.
    (b) Reconcile deliveries with purchase orders and report any shortfalls or discrepancies.
    (c) Support physical stock counts and ensure real-time data accuracy in inventory systems.
    (d) Support physical stock counts and cycle checks in coordination with the inventory team.
    (e) Perform timely and accurate data entry into the inventory system, ensuring real-time stock
    visibility.
    (f) Participate in cyclical inventory checks, conduct reconciliations, and investigate anomalies or
    variances in stock records.
    (g) Work closely with the Inventory team to maintain integrity and transparency in all stock-
    related documentation.
  4. Costing and Financial Reporting
    (a) Compile and record the total cost per shipment including:
    i. Freight
    ii. Brokerage
    iii. Duties
    iv. Handling/delivery charges
    (b) Prepare and submit cost summaries for internal pricing, accounting, and margin analysis.
    (c) Assist the Accounts and Executive Office in evaluating supplier pricing and cost trends.
  5. Documentation and Reporting
    (a) Maintain both physical and electronic files for all shipment and inventory-related
    documentation.
    (b) Ensure proper labeling, indexing, and archival of records for audit and reference.
    (c) Generate and circulate a monthly summary of:
    i. Completed shipments
    ii. In-transit shipments
    iii. Inventory issues encountered and resolved
    (d) Submit weekly updates to the Managing Director.

SKILLS & QUALIFICATIONS
(a) Minimum two to three (2–3) years’ experience in Logistics and/or Shipping Coordination and
Costing.
(b) At least two (2) years’ experience in costing, landed price calculation, and shipment analytics.
(c) Strong understanding of inventory systems and stock reconciliation procedures.
(d) Proficiency in Microsoft Excel and document management tools.
(e) Strong communication and follow-up skills with external vendors and internal teams.
(f) Meticulous, reliable, and solution-oriented.
